Weighing Your Options: Deciding Whether to Have Document Management Done In-house or Outsourced

Deciding whether to handle your document management in-house or outsourcing isn’t one you should take lightly. Consequently, there are many options to weigh. For some institutions, in-house may be a great option. Conversely, for other businesses having their imaging and storage outsourced is essential. To make this decision, we have come up with a brief questionnaire to enable you to make a choice as well as some information regarding benefits of outsourcing.

Questions to ask
Analysis: First, you will want to review the needs of your project. Here are some questions to ask:

  • How large is your project? Is it something that requires a few hundred pages to scan or thousands?
  • How long will your project last? Is this a need that will occur once a year or more?

Importantly, these questions will help give you a clear indication of whether you want to explore in-house. Therefore, if your project is small, and may need to be done only once, internalizing might be the answer. However, if you have hundreds or thousands of pages and expect the project to be ongoing or annual, subcontracting may be the better choice.

  • How much time can you afford to take employees from their ‘regular’ tasks? Further, there can be a backlog of files needing scanning/processing, mishandling at the scanner (i.e. double feed pages), and obscured information via incomplete file preparation.
  • Next, to orchestrate a task like document management in-house, there will be hardware in the form of scanners and computers. In addition, there are software costs to absorb and may even require a yearly contract. IT staff will be involved for initial implantation and then will have ongoing responsibilities for file space maintenance and allocating data to its final destination (i.e. repository storage). Additionally, new user training with hardware and software for the life of this newly created department. Do the costs associated with having the hardware and software make sense for your business? If this is an ongoing task, you may need to set throughput guidelines to establish employee productivity.
  • Scanning can be challenging. Especially, if there are many pages to scan, you want to make sure they are done in a timely manner. Moreover, your staffer should have experience in large volume scanning to ensure the project is handled in a timely fashion. How much time will scanning these documents take?
  • Lastly, your facility is also a factor. Do you have the space to dedicate to this equipment? To the storage? Is it financially responsible to dedicate space to these tasks?
